Reviewing and Managing Advert Submissions
Once you have created and activated your Advert Types, your members will be able to submit adverts via the Student Dashboard.
Guidance on how members can submit adverts via the Student Dashboard can be found here.
New advert submissions will need to be reviewed and approved/declined, other than for any Advert Types where you have enabled auto approval.
Reviewing new advert submissions
To view new advert submissions, click the blue 'Manage Adverts' icon alongside the relevant Advert Type.
All new adverts that have been submitted that require approval will be marked with a stage of 'Pending Review'.
To review a new advert:
- Click the green 'Review' button
- Review all of the information that the member has added
- Adjust any of the information needed
- Click 'Approve' or 'Decline' to make a decision on the advert
Declining an advert
If you decline an advert, you will be able to give a reason why it has been declined. This will be displayed on the Student Dashboard for the member who submitted the advert to view.
If you have the relevant auto-emails set up, an email will be sent to the member who submitted the advert to confirm that it has been declined.
If you have declined an advert, the member will be able to modify and resubmit the advert if they wish. This will need to be reviewed again if a member decides to resubmit.
You are able to approve a declined advert later down the line if you ever need to.
Approving an advert
Click 'Approve' if you are happy for the advert to go live. If you have made changes to the advert during your review, you will have the option to 'Approve with Changes'.
If you approve an advert with changes, a notice will appear at the top of the advert on the Student Dashboard to confirm to the member that changes were made prior to approval.
If you have the relevant auto-emails set up, an email will be sent to the member who submitted the advert to confirm that it has been approved.
Approved adverts will be activated and made live on your website and the SU App immediately for a period of 2 weeks, and the advert start and end dates will be populated for reference.
Auto-approved adverts
If you have auto-approval enabled, any adverts of that type will automatically go live on your website and the SU App for a period of 2 weeks, and the advert start and end dates will be populated for reference.
You will have the same options as any other adverts and will be able to view the details of the advert if required. You will also be able to activate or deactivate an advert at any time.
Can I reactivate or deactivate an advert?
As with advert types, you will be able to activate or deactivate an individual advert at certain points. For example, you may need to deactivate an advert within its 2 week period, or you may need to reactivate an advert that has completed.
You will also have the option to extend an advert when it is a few days away from expiring.
Extending an advert
Around 3 days before an advert is due to expire, the status of the advert will change to 'Active - Expires Soon' within the Active column.
As well as the option to deactivate the advert, you will have another option to 'Activate' the advert again.
This will restart the 2 week period advertising period, and the start and end dates will be updated to reflect this.
Reactivating an advert
You can reactivate an expired advert to make it live again for another 2 week period if needed.
Expired adverts will be shown as 'Complete' within Active column and you will have the option to reactivate the advert.
Reactivating an advert will make it live for another 2 week period, and the start and end dates will be updated to reflect this.
If you have the relevant auto-emails set up, an email will be sent to the member who submitted the advert to confirm that their advert has been reactivated after its initial expiry.
Deactivating an advert
You can also deactivate an advert while it is live if needed.
Adverts that are live will be shown as 'Active' or 'Active - Expires Soon' within the Active column and you will have the option to deactivate the advert.
This will remove the advert from your website/SU App.
Please note: Members will also have the option to reactivate their own adverts at certain points. They will not be able to deactivate their own adverts, but they can delete an advert entirely at any point if they wish.
What options will a member have to manage their own adverts?
Member guidance is available that provides further information on how they can submit and manage their adverts, including the options they have when their adverts are live and have expired.
Take a look at the guidance here for further information.
Can anyone register interest in an advert?
Anyone can view an advert that is live on your website, however only members that are signed in can register their interest. Members can also register interest in adverts that they view whilst logged into the SU App.
Students can view and manage their interest in their adverts via their Student Dashboard. Further guidance on how they can do this can be found here.
