Subscription Groups

Creating New Mail

This section allows you to create groups of recipients, to use for sending Mail Campaigns, or for students to opt in or out of on your website.


Creating a Subscription Group

Firstly, an overarching Subscription Group must be created, to hold Subscription Names. For example, you might create a Subscription Group called “Custom Mailing Lists” and then create Subscription Names within that for each bespoke Mailing List.

  • On the Subscription Groups screen, click the green ‘Create Group’ button.
  • Enter the Name of the Subscription Group to be displayed on your website.
  • Enter a number in the Preference Order box, to depict which order you wish your Subscription Groups to appear to the user.
  • Using the ‘Show on Web’ box, either tick or untick to depict whether you want the Subscription Group to appear on your website for users to manually opt in or out of. For example, if you set up a Subscription Group for “Elections News”, you might allow students to opt themselves in or out of this, whereas if you wish to use the Subscription Groups to send Mail Campaigns to specific groups, you might want to only use this internally.
  • Click the green ‘Submit’ button.

Creating a Subscription Name

  • Within an overarching Subscription Group, you can then create Subscription Names. For example, if you created a Subscription Group for “Custom Mailing Lists”, you can then create individual Subscription Names for each bespoke list.
  • Within your chosen Subscription Group, click the light blue ‘Subscription Names’ button.
  • Click the green ‘Create Names’ button in the top-right hand corner.
  • Select the Subscription Group you are creating the Subscription Name in.
  • Enter the name of your Subscription Name, for example ‘Volunteering Interest’.
  • Tick whether you wish the Subscription Name to be Explicit or Implicit.
    • An Explicit Subscription is one where students must opt in to receiving the mail. The Subscription Name will then contain a list of the email addresses of everyone who has opted in.
    • An Implicit Subscription is one where all members of the Students’ Union will be automatically added but can then opt out in their Account on the website. The Subscription Name will then contain a list of the email addresses of everyone who has opted out.
  • Enter a number as the Preference Order.
  • Click the green ‘Submit’ button.

Uploading Subscribers into a Subscription Name

  • Once your Subscription Name has been created, click the green ‘Upload’ button to upload recipients (if you are using the Subscription Name as a means for users to opt in or out of certain content, you do not need to do this as the group will populate based on whether it is Implicit or Explicit).
  • Click ‘Choose File’ and choose the Excel file containing your subscribers – this needs to be saved as a .csv file and the email addresses in the Excel file should be in a single column headed “email_addresses”. Note: If there is any other information in the Excel file, the upload shall be unsuccessful.
  • Click ‘Upload’.
  • You can now view the subscribers by clicking the orange ‘Subscribers’ button.

Deleting a Subscriber

  • To delete a Subscriber, enter the correct Subscription Group by selecting ‘Subscription Names’;

  • Select ‘Subscribers’ alongside the relevant Subscription;

  • Find the subscriber to be deleted and click the red ‘Remove’ button.
