How can I generate prize winners from the voters of an election?

This guide covers how you can generate random vote winners from your elections to allow you to conduct prize draws and generate random prize winners.

The 'Generate Random Vote Winner' tool can be used to generate up to 50 random winners from the pool of voters of an individual election.

When generating your winners, you can also select whether you would like to generate winners from those who have voted at any point during the voting period, or just within the past 24 hours, allowing you to facilitate daily prize draws if you wish.

Please note: This tool cannot be used to generate the winning candidate of an election - this is solely for the purpose of selecting random members from the pool of voters of an election, such as for a prize draw.

Which types of elections can I generate random vote winners from?

You can select the following types of elections to generate random vote winners for:

  • Standard Elections
  • 'Child' Dynamic Elections

You cannot select a 'parent' dynamic election to generate vote winners from, as you must generate the winners for an individual election.

For example, you are unable to generate voter winners from a 'President' committee parent election that you have created, but you are able to generate voter winners for the 'President' election for American Football.

How can I access this tool?

The 'Generate Random Vote Winner' tool can be accessed in 2 ways:

  1. Via the 'Configuration' tab, under 'Additional Features'
  2. Selecting the 'Generate Random Vote Winner' option when viewing an individual election

When you access this tool you will see the below screen:

To generate the relevant winners you require, follow the below steps:

Step 1: Select your Elections

First, search for and select the elections you would like to generate random vote winners for. You can select up to 10 elections each time you use this tool.

Step 2: Enter the Number of Winners you require

Next, enter the number of winners you would like to generate for each election. You can generate up to 50 random members from the pool of voters per election.

Step 3: Select the voting timeframe.

Lastly, select if you would like your random winners to be generated from those who have voted at any point during the voting period, or just within the past 24 hours.

Step 4: Generate your winners

Once you have completed the above steps, you can then click the 'Generate Winners' button to run the generation. If the generation has been successful, a green success banner will appear at the top of the page to confirm that your winners have been selected.

Viewing your Random Vote Winners

Once you have clicked the 'Generate Winners' button, your random vote winners will appear, separated out into the winners that have been generated for each election.

Take a look at the example below, where 3 vote winners have been generated for a couple of elections:

In this instance, 3 vote winners have been generated from the entire voting period for 2 elections.

The names of each winner will be displayed, and you can click on each name to direct you to that member's profile within SUMS.

Why has my generation not been successful?

No voters within given timeframe

If you have selected an election and time period where no votes were cast, then the random vote winner generation will not be successful.

If this is the case, a banner will appear to confirm that there were no voters to generate winners from:

Not enough voters within given timeframe

You may also have generated random vote winners for an election, but not have the number of winners you originally required because there weren't enough voters during the timeframe you selected.

For example, you may require 10 winners from those who have voted within an election in the past 24 hours, but only 6 members voted within that time.

If this is the case, all of the voters within the given timeframe will have been generated as winners, with a banner confirming that there are not enough voters in that period to generate the number you required:

Why is the election I'm trying to search for not appearing as an option?

If the election you are trying to search for isn't appearing for selection, make sure you check the following:

  • The voting period of the election you are searching for has started
  • You are searching for a standard or 'child' dynamic election, not a 'parent' dynamic election
  • The ID or name that you are searching for is accurate
