Bulk Calculating Election Results – Election Periods

Periods are a new feature of the Elections module, introduced in our Phase 3 enhancements. They’re defined by you and your team and allow you to bulk calculate election results. They are only used on the staff side of SUMS – members never interact with them.

You’ll need to create a new period for each grouping of elections you run. For example, one period could be your Sabbatical elections, whilst another could be your Student Group elections.

An election must use a period to be able to perform bulk result calculation. Periods can be set per election type: Standard, Dynamic (Academic) or Dynamic (Committee).

Once a period has been ‘calculated’, it will no longer be useable. This means you will need to create periods each time you introduce a new set of elections. For example, one could be created called Sabbatical Elections 2024, but a new period would need to be created for Sabbatical Elections 2025.

When creating periods, you can define:

  • Should candidates be withdrawn if they’re elected into another role?
  • Should the number of positions be lowered if not enough candidates have ran?
  • Should emails be sent to successful and/or unsuccessful candidates?
  • Should successful candidates be automatically populated into their role?
