Stock Counts

There are 3 types of stock reports you can create:

Normal and Audit

Normal & Audit are the same. You would use one for internal and one for external stock counts. Both of these reports are for full stock takes. They will bring up a list of every sale unit on the system. Any item not input on the stock take will be reset to zero when you commit the report.

Spot Checks

Spot Checks allow you to count selected items. The stock level of any items you don’t include on the count will not be changed, only the items selected.

  1. Select the ‘Stock’ button;
  2. Click ‘Create Stock Report’;
  3. Select the type of report you require;
  4. The report will appear at the top of the list. Click the orange‘Edit Items’ button on the right-hand side;
  5. For a full report the stock will all be listed. Enter the values from your count in the ‘Actual Stock’ column;
  6. For a spot check, select the dropdown box under the ‘Sale Unit’ column, start typing the name of the sale unit you require and select the item you want from the list that appears. Then enter the actual stock for that item;
  7. Once you have entered everything, look at the bottom of the page. Your total stock count and variance will be displayed;
  8. When you are happy with the report, press ‘Commit’

Please Note: Once a report has been submitted, the stock totals will update and the report cannot be changed.

Once you create a stock report, a snapshot of the current stock levels is taken by SUMS and the time you create that report is also locked, so that when you commit the report all stock levels are back-dated to that date. This means, as long as you create the stock report before you open for business, you can input the data at a later date.

If you want to pull a stock period report for any stock count, click the light blue ‘Stock Report’ button next to any report that has been created with an associated stock period.
