How can an associate member reset their password?
If an associate member ever needs to reset their password, they can select the 'Forgot Password' option available via the associate login page on your website.
Below you can see an example of this option when implemented on the associate login page:
The user will be requested to enter their email address, and if an associate account is registered with that email address, an email will be sent containing a link which will allow them to reset their password.
Once they have reset their password, they will receive another email confirming that their password has been successfully reset, and they will be able to login using their new password.
What if a member has multiple associate accounts?
If a member holds multiple active associate accounts that are registered to the same email address, they will receive an email referencing the most recent account that was created.
Staff Associate Accounts
You may have a staff member who is trying to access their associate account, but their account has been converted to a Student account (i.e. for the purposes of viewing elections on the website).
If this is the case, they should still receive an email if they select the 'Forgot Password' option.
This is the only situation in which an account marked as a 'Student' will receive an email when using this functionality. Students cannot use this functionality to request a password reset link for their student/SSO account.
Can I adjust the content of the email that is sent to associate members that select this option?
The templates for the emails that are sent to associate members who select this option can be found within the 'Emails' section of the Admin module - you will need to modify these email templates before you start to use this functionality, as the sender details and content will not reference your Student Union.
The templates relating to password reset links are named:
- associate_forgot_password - This email is sent to associate members when they select the forgotten password option and contains the link they require to reset their password
- associate_reset_password - This email is sent to associate members when they have reset their password to confirm that this has been successful
From here you can 'Modify' your templates to edit the content as required.
Ensure you do not change the Shortname of the email templates, as this ensures that the emails are sent to associate members when they select the 'Forgot Password' option and succesfully reset their password.

Please note: Once this functionality has been added to your web templates, you will need to adjust your email templates as noted above to ensure your sender details and content are correct for your Union.
Can I reset an associate member's password via SUMS?
You can reset an associate member's password via SUMS if needed, for example if you do not have the 'Forgot Password' option available on your website.
- Navigate to the 'Associate Members' section of the Members module
- Use the filters available to find the relevant associate member
- Click the orange 'Reset Password' option to generate a new password for that associate member's account
The associate member will not be notified if their password has been reset, so you will need to contact them to provide them with their new password.
If you would rather provide an associate member with a password reset link to allow them to action this themselves, you can select the green 'Email Password Reset Link' option. This will send an email to the associate member containing a link which will allow them to reset their password.
Please note: The emails received by an associate member when sending a reset password link via SUMS are not the same as the emails that are sent if they do this via the login page. The email will still contain the relevant reset link, but when you modify the content of the emails listed above, this is only for the emails that are sent if an associate selects the 'Forgot Password' option on the login page.
