Assign Student Leader
Should a submission surpass the voting threshold, it will appear in the Assign Student Leader section of the Suggestions module. Within this category, Student Leaders are able to review the submission and its content.
To assign a Student Leader to the proposal, select modify and click the dropdown to select the relevant leader.
Once assigned, the Suggestion will be visible under the 'Working on' tab on the website.
How do I make my Student Leaders appear?
The options that appear when assigning to a Student Leader will pull through from the HR module. If you're not using the HR module to log and manage your staff members, you will need to ensure you have access to and can use the Full Time section of the HR module.
The Full Time section is used to log your staff, and can also be used to manage your staff page on your website, if you have one.
However, there is no requirement to use the wider features of the HR module if you only need to use it for the purposes of assigning Student Leaders to Suggestions.
You will need to follow these steps to ensure the correct Student Leaders appear for you to select from: 1. Navigate to the Full Time section of the HR module 2. Click the 'Create Staff' option to add your Student Leaders as members of staff 3. When creating staff you will have the option to select a department - ensure you have a Student Leader department or similar to select from (these departments must be added to your instance by SUMS. Please get in touch with the team via ZenDesk if you require a new department to be added) 4. Once you have created your staff members and assigned them to the relevant department, navigate to System Configuration > Settings and scroll down to the Suggestions section 5. Find the setting entitled Student Leader Department and select the relevant department 6. Click 'Save' to save your changes to the setting
The staff members held within the department you have selected will then pull through for you to select from when assigning Suggestions.
On Hold
Within the Assign Student Leader section, you are able to put the Suggestion on hold. This will move the idea to "On Hold" within SUMS and the "Future" tab on the website.
In the future, Suggestions can be reviewed and re-opened via the ’Re-open’ button; a Student Leader may then be assigned to the submission.
Re-Assign Student Leader
Should a Suggestion be assigned to the wrong Student Leader or the previous leader leaves post, then you have the option to re-assign the submission within this sub-category.
Not Supported
If a Suggestion does not receive enough votes, it shall be moved into the “Not supported” section of the website.
Feedback
For any Suggestion on the website that has been voted on, a Student Leader can add their comments into the Feedback section of SUMS. To do so, click on the Modify button and then add your feedback into the text box before clicking on Submit. This feedback will then appear within the Student Leader feedback section underneath the Suggestion on the website.
Completion
When a Student Leaders wants to mark their assigned Suggestion as complete, they can do so via the Completion subsection where they can use the Mark as Completed button. It is recommended that the Student Leaders submit their final piece of feedback prior to this.
Alternatively, the Suggestion can also be moved into the On Hold section if necessary.
