Guest List & Granting Free Tickets
You can view a full guest list for your event, including:
- All Ticket Sales
- Free Tickets Granted
- Members who have obtained a free event ticket via a Reward Card
How do I access this page?
- Find the relevant parent event within the calendar/Search Events tab and click ‘View’
- Alongside the relevant event date, click the blue 'Tickets' button to view all tickets for the parent event, or click the blue button alognside the specfic date
- From here you will be able to view a full list of all member and public tickets for the parent event/chosen event date, as well as the following statistics:
- Total Tickets Sold
- Revenue Generated
- % of Tickets Sold
- You will have a range of filters available to use to find a specific event ticket if needed
From this page, as well as being able to add free tickets, you will also have the following options:
- Import Tickets – this import tool allows you to upload external tickets
- View QR Code – click this button to view the QR code for that specific ticket
- Print Ticket – allows you to print a physical ticket for that individual entry
- Revoke Ticket – this handy shortcut allows you to revoke any ticket, without processing a refund for tickets that have been purchased
Granting Free Tickets
From the Tickets page of your parent event/event date, you can also manually generate any free event tickets you may need. For example, you may have offered free event tickets as an incentive for voting in an election and need to grant a free ticket to the prize winner.
To manually generate a free event ticket:
- Click ‘Create Tickets’ and select the relevant event date
- Select the relevant ticket product if you wish to grant someone a specific product, such as a VIP ticket (this is optional. You can create a ticket just for the event date itself if needed)
- Confirm the details of the ticket holder and enter either the:
- Member's name
- Name and email address if you wish to create a ticket for a member of the public
- Reward Card – you can select a reward card to ensure all members of that card receive a free ticket to this event. All reward cards that have a ‘Free Event’ as a benefit will be available to select (see here for further guidance on how to create Reward Cards).
- Click ‘Submit’ to create the new ticket(s) for the ticket holder(s) you have selected
Once you have clicked 'Submit' a new entry will appear on the Tickets page, confirming the details of the new ticket and ticket holder, and presenting you with all of the options of a regular ticket.
How can they then be scanned into the event?
When you manually create a free ticket for a member, they will be generated a new ticket QR code for that event. They can be scanned into the event via the SU App using either:
- Their member pass
- The event ticket that they can find within their profile on the SU App
You can also take a look at the QR code generated for their ticket by selecting the blue 'QR Code' option alongside their new ticket.
If you have created a ticket for a member of public, you will need to scan them into the event by accessing the QR code via SUMS, as shown in the image above,
Please note: The ticket holder(s) in question will not receive an email with their event ticket, they will need to be scanned into the event either via the SU App or by scanning the ticket QR code available on SUMS.
